How To Get A Free Custom Email Address Using Your Own Or Company Name

Kathmandu: Most people use email addresses such as …@gmail.com or …@outlook.com for personal and professional communication.

Many users rely on similar Gmail-style addresses for years. Over time, this can feel repetitive and less professional. In such cases, you may want an email address using your own name or your company name, such as [email protected] for personal use or [email protected] for a business.

Here, we explain how to create an email address with your own or company name for free.

First, it is important to understand domain names.

In simple terms, gmail.com in Gmail or techpana.com in TechPana are domain names. A domain name is the unique address that comes after the “@” symbol in an email. You can learn more about domain names by clicking the link.

To use extensions such as .com, .net, or .org, you usually need to pay a fee. However, Nepal’s country-level domains such as .com.np, .org.np, and .net.np are currently available for free. Before proceeding, you must first obtain such a domain. Information on how to register these domains is available on the official portal.

Once you have secured a domain, the next step is configuration. For this process, we are using Cloudflare. Visit Cloudflare and click on the “Start for Free” option.

You will then be asked to create an account using Google, Apple, GitHub, or an email address. For convenience, select “Continue with Google”.

 Choose the Google account you want to use, and grant permission by clicking “Continue,” as shown in the screenshot.

After this step, your Cloudflare account will be ready. On the next screen, enter your domain name and click the “Continue” button. 

When prompted, select the middle option, which allows you to set up DNS records manually. 

Then choose the free plan.

Next, select your domain name and scroll down to the section where nameserver settings are available. 

Now, go to the domain management area of your domain provider. If you are using a .com.np domain, sign in at register.com.np using the account under which your domain is registered, then open the “Active Domain” section.

Click on “Edit DNS” next to your domain name 

Replace the existing nameservers with the nameservers provided by Cloudflare.

This update can take up to 24 hours to take effect.

Once the domain is connected to Cloudflare, you can proceed to create an email account.

For email services, we use Zoho Mail, an Indian email service provider that allows up to five free email accounts under the same domain.

  • First, click here

  • Select the option “Create Domain Based Email Account.” Click on the proceed button.

  • Tap the plus icon and enter your domain name in the field provided. 

  • Then click on “Configure Manually.”

  • Keep the TXT option selected at the top and copy the TXT value shown on the screen.

  • Return to your Cloudflare account. 

  • Select your domain, and open the DNS Records section. 

  • Click on “Add Record”.

  • Choose TXT as the record type, enter @in the Name field, set a short TTL, and paste the copied TXT value into the content field.

  • Save the record.

  • Wait for about 30 minutes, then return to the Zoho website and click on “Verify TXT Record”.

So far we have connected the domain name and Zoho system. Now let's move on to setting up email. After the TXT record is verified, a panel like this will appear. 

  • If you see the dashboard as shown in the screenshot here, tap on the Users option on the right.

  • Click on the “Add” option. 

  • Enter the first name, last name, and a suitable username such as info, news, mail, hi, or hello. Set a password and add a profile photo if required. 

  • Then click on “Add.”

After completing these steps, your custom email address and password will be ready. You can log in either through the Zoho Mail website or via the mobile app. Android and iOS users can download the Zoho Mail app from their respective app stores and sign in using the credentials you created.
